What Is The Format Of A Consumer Complaint?

Answer By law4u team

A consumer complaint is a formal expression of dissatisfaction or grievance made by a consumer against a product, service, or company. It is essential that consumers present their complaints in a structured and clear format to ensure that the issue is addressed promptly and effectively. A well-written complaint can lead to the desired resolution, whether that involves a refund, replacement, repair, or any other form of compensation.

Format Of A Consumer Complaint

  • Subject of the Complaint

The subject line should briefly describe the issue. It should be clear and to the point.

Example: Complaint Regarding Defective Washing Machine Model XYZ-123

  • Date

Mention the date on which the complaint is being filed.

  • Consumer's Information

    • Full name
    • Contact information (email address and phone number)
    • Address
    • Consumer ID (if applicable)
  • Business Details

    • Full name and address of the company or service provider.
    • Contact information of the company (e.g., customer support helpline, email address).
  • Product/Service Information

Specify the product or service that is the subject of the complaint.

Include details like model number, serial number, purchase date, and any other identifying details.

  • Description of the Complaint

Clearly explain the problem or issue.

Include relevant details such as when the issue occurred, the steps you've already taken (if any) to resolve the issue, and the responses you’ve received from the business (if applicable).

Be factual and concise; avoid emotional language.

Example: The washing machine stopped working within 30 days of purchase. Despite contacting customer service twice, the issue has not been resolved, and no technician has been dispatched.

  • Desired Resolution

State the action you want the company to take to resolve the issue. This could include:

    • Refund
    • Replacement
    • Repair
    • Compensation

Be specific about what you expect from the resolution process.

Example: I request a full refund for the defective product, as it has been less than 30 days since the purchase.

  • Supporting Documents

Attach copies of relevant documents to support your complaint:

    • Receipts or invoices
    • Warranty cards
    • Emails or letters exchanged with the company
    • Photographs of the defective product (if applicable)

Mention the list of documents in your complaint for easy reference.

  • Consumer’s Signature

If sending a physical complaint letter, sign at the bottom. For online complaints, you can add a digital signature or simply provide your typed name.

Consumer Rights & Resolution Process

Consumers have the right to file a complaint with regulatory bodies like the Consumer Protection Authority or Consumer Court if a business does not resolve the complaint. In India, complaints can be filed online at the National Consumer Helpline or the Consumer Court. Other countries also have their own regulatory mechanisms such as the FTC (Federal Trade Commission) in the U.S. or Ombudsman Services in the UK.

Consumer Safety Tips

  • Always keep a record of all communications related to your complaint.
  • Act quickly – don’t delay in lodging a complaint, especially when the issue concerns a product under warranty.
  • Be polite and professional in your communication, even if you're frustrated.
